5 questions every ops manager should be able to answer immediately from their data (but can't)

If you run operations, your job is a stream of questions: what is working, what is breaking, and what will go wrong next. You *should* be able to get those answers from your data in minutes. Instead, you are stuck with stale dashboards, delayed reports, and analyst bottlenecks, while most “ops KPIs” articles stay theoretical and never reach the shop floor.


Here are five questions every ops manager should be able to answer from their data, why most can’t, and instead, how having a personally built tool integrated into your system would allow you to respond in seconds.



1. “Where are we leaking orders or revenue right now?”


When numbers dip, you need to know *where*, not just “overall down 7%.” Especially when we're approaching to what economics refer to as a soft economy, where purchase power is coming into question amidst the current market, we must make our decision quick and decisive to keep our business approach.


What you want:

- Which region, product, or channel is driving today’s drop.

- How that compares to last week or last month.


Why this is hard:

2. “What is stuck in our process right now?”


Flow is everything: orders, tickets, jobs, or tasks moving step to step. When something jams, customer experience suffers.

- Which stage in your workflow is currently slowest.

- Whether delays are local (site, team) or systemic.


Why this is hard:

- Many teams only see monthly average cycle time, not live bottlenecks.

- Step-wise analysis needs detailed event data and custom calcs.

3. “Who on the team is overloaded or underperforming?”

- SKUs at risk of stocking out soon, by location.

- Inventory lives in ERP, WMS, and spreadsheets that do not sync cleanly.

- Dashboards show “current stock,” not risk based on run rate.

- A forward-looking view means custom joins and formulas most ops teams cannot own.

More activity does not automatically mean better efficiency.

- Cost per order, ticket, or unit over time.

- Where cost per unit is rising, by region or channel.

- Finance owns cost data, ops owns volume data, and they rarely join smoothly.

- “Cost per unit” appears in quarterly decks, not in a live ops view.
